Executive Assistant to Senior Leadership

Position Overview

We are seeking a highly organized, proactive, and polished Executive Assistant to support senior leadership within a fast-paced chemical organization. This role will serve as a key liaison between internal executives, external partners, and stakeholders, ensuring seamless communication, coordination, and execution of high-level priorities.

Key Responsibilities

Executive & Administrative Support

  • Provide dedicated support to multiple senior executives, including calendar management, travel coordination, and expense reporting
  • Prioritize and manage complex schedules across internal stakeholders and external partners
  • Prepare executive-level communications, presentations, and reports

Partner & Stakeholder Coordination

  • Act as a primary point of contact for external partners, clients, and vendors
  • Coordinate meetings, site visits, and executive briefings with internal teams and external stakeholders
  • Maintain strong professional relationships while representing leadership with a high level of credibility

Meeting & Project Management

  • Organize and facilitate executive meetings, including agenda creation, materials preparation, and follow-ups
  • Track key deliverables, action items, and deadlines across multiple initiatives
  • Support cross-functional projects involving operations, sales, compliance, and leadership

Confidential & Strategic Support

  • Handle sensitive information with the highest level of discretion
  • Assist with strategic initiatives, board-level materials, and executive communications
  • Anticipate executive needs and proactively solve problems before they arise

Operational Excellence

  • Streamline administrative processes and improve efficiency across leadership workflows
  • Manage multiple priorities simultaneously in a fast-paced, deadline-driven environment
  • Provide on-site support for executive events, leadership meetings, and partner engagements

Qualifications

  • 5+ years of Executive Assistant experience supporting senior leadership (VP+ or C-suite preferred)
  • Experience working in a manufacturing, industrial, or chemical environment strongly preferred
  • Proven ability to manage multiple executives and external relationships simultaneously
  • Exceptional organizational, communication, and time management skills
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Teams)
  • High level of professionalism, discretion, and attention to detail
